View Full Version : Valleyfair Planning Meeting

Lee Frisvold has generously offered us the use of the Skogmo Room at Dunwoody Institute for a Valleyfair planning meeting/ dry run. I am proposing this to all members who are either involved with the event in some capacity, or who are simple interested.
When: Saturday, March 27 at Dunwoody, Skogmo Room. 7:30 am to 1:30 pm.
What we will do:
Review all chief worker duties, and assign specific responsibilities.
Review registration procedures.
Review event schedule and procedures. (Can we do an mock online registration?)
Test the special reports from T & S
Do an event dry run, including setting up and using the timing equipment. Maybe do a mock event for fun.
Whatever else strikes our fancy!
This date works well with my limited schedule, so I hope we can all agree to get together on this date. If you cannot make it, there will be at least one more planning meeting before the event. All chiefs should plan on making it if they can, as well as timing and scoring people. Please indicate by responding to htis if you cannot be there. I'll finalize early next week then. Thanks all.

I'll be in Topeka that day, so I won't be able to attend. I'll give you an update prior to the 27th on anything I've been working on that might be pertinent.
Some comments, regarding the special reports:
At the Timing dry run we had a couple weeks ago, the brain trust decided we would prefer NOT to use the worker assignment report from AXWRATS. Doing so would not mesh well with the registration procedures a number of people have been working hard to formalize and streamline.
The grid report is a different story - make sure everyone understands the use of the grid report, and confirm we know how to create it.

I cannot make it unfortunately, If someone can meet up with me to get the timing equipment that would most likely be a good idea

Jon, who else knows how to run the timing equipment? Even though many of the people who are "chiefs" cannot make it, I would still like to make use of the room and do what we can. Can anyone else who knows how to setup and run the equipment make it?
Options are:
Delay the meeting until the 17th. Since this is Novice school, I will be there but we will have to make time after the classroom session to get done what needs to be done.
Pick another location so we can have it on another date. I'm available on the weekends, and would like it to be earlier rather than later.
Can we come up with another date/time that works for everyone?

My vote would be to schedule the meeting for the 17th, since we're likely to get the best turnout on that date. That will also give us a bit more time to get some bugs worked out of the new timing computers before the meeting.

That's O.K. with me, but I'm concerned about time to react to any problems. If Jon and the timing guru's have absolutely tested everything and say that it's all good, than I feel a little better. Sounded like there were some bugs though.
O.K. - Who can stay after the Novice School on the 17th? I would like to see:

Being only 2 weeks before the event, this would be the last opportunity to go through everything. Please let me know if you are on this list and cannot make it. Of course, this is not a closed meeting....anyone and everyone is welcome to either help, observe, or just visit.

Would prefer the 27th of this month to 17th of next. We have plans w/friends in MN for the weekend, and the fact that Nancy set this up w/out consulting the family calander cut me loose for 1/2 day for the novice school. I could most likely make the rest of the day on the 17th if needed, but the 27th is more comfortable, and as Pat says, gives us more reaction time to make fixes, should that sort of thing be needed. Let me know if 27 or 17 will be the day.

Josh Berman should be there too, as he, Jon & I have been collaborating on the technology bits & pieces (timing & scoring, online registration, etc.).

O.K., even though not everyone else has checked in, let's for sure say that we will get together on the 17th immediately following the Novice School around 2:00 pm.
We need a location...someone please volunteer a location? Any place close by will do...someones house, garage,.... Please reply here, thanks!
As for the 27th, I am still willing to be there. IF there are any people, like Dave, who want to get together on teh 27th as well, please also let me know. Seems like being there in part is better than blowing off the whole thing...we can go through specific duties if your there. Can someone bring the timing equipment and set it up? If anything, I want to learn it myself since I don't really know how our system works. Again, reply here if you still want to meet on the 27th. Thanks folks!

I think we should forgo the 27th and shoot for the April 17th we can use my class room for checking the registration/timing system. The doors will be open at 7:30 so we can go thru it before the class and work thru the bugs as the class runs. We have till 2:00 to use the school. One thing that would help is the job reponsibilties for the chiefs so we can get a good idea of what we will need to do.
But if theres's enough interest for the 27th we can do it also.

That sounds good, and I agree....I just think that some additional time all together would be good. While the timing stuff is being worked on, I'm doing the Novice School. I am getting the job sheets done this week and will get them into everyone's hands. I still think we need to go somewhere after Dunwoody kicks us out to address things together.
Taking care of this business after the novice school at Dunwoody on the 17th of April,really makes good sense. Let's do it then.

As much as the 17th is a bind for me, it does make sence. I like the idea of having the T/S people work on that in one room, while the novice classroom stuff goes on in another. Makes best use of space and time, and might get me out of there sooner, and back in the good graces of Mrs Me. Also, we would then have the novice track day the following day to test out the system and any new ideas, while the success of the trial run is fresh to everyone.
